Updates for TATEMS Fleet Maintenance Software 4.6.20-4.6.21

Updates in TATEMS Version 4.6.20 & 4.6.21

  1. Improved speed of navigation 4.6.20 and then improved even more in 4.6.21
  2. Fixed Backup location issue of it not saving to the non-default location 4.6.20
  3. Fixed Work Order templates issue where the non-template text in the Detailed Description box was not printing on the Work Order/Invoice 4.6.20
  4. Fixed issue in the personnel screen that would not allow you to delete an employee 4.6.20
  5. Added ability to delete all unused Fuel Vendors to make deletion faster for large lists 4.6.20
  6. Fixed issue with the delete button on the Fuel Log Vendors screen. 4.6.20
  7. Changed the 90 day inspection so they are created as needed for each equipment and only for the current year instead of all years for all equipment 4.6.21

Plus at the end of the video I cover 2 bonus items that will keep your database smaller, faster and save you time if you use the 90 Day Inspections Tab.

New Video Update Improvements for TATEMS Versions 4.6.19i though 4.6.19l

We have a new video for TATEMS Fleet Maintenance Software showing you the update improvements for versions 4.6.19i through 4.6.19l.

This video goes over these improvements:

  • Improved various dropdown lists like the Lube/Service to so that when you click it will expand to show you all the text instead of truncating it
  • Improved the dropdown lists under Reports->More Reports to expand wider and to also show some extra data like the Equipment Description  when choosing an equipment number and the Repair Code description when choosing a Repair code number
  • Improved the Accomplished by and Inspected by dropdowns for Lube Service and 90 Day Inspections to hide the deactivated personnel and to also refresh when someone has updated the personnel status so that it's reflected in the dropdowns
  • Add Printer default printer Tray Selector to the Preferences screen under tools->Preferences
  • Added two sided printing options to Tools->Preferences
  • Improved Lube/Service Dropdown List Maintenance screen under Forms->Dropdown List Maintenance so that the list showing each Lube/Service will display more characters without truncating
  • Improved the 90 Day inspections screen so that if you use the scroll wheel you will not be sent to a different year or month and also improved the Date Inspected field to prevent entering a date that does not match the year and month you selected
  • Improved the Personnel form so that if you use the scroll wheel after you selected a personnel record you can not accidentally scroll to a new empty record.
  • Added a vertical scroll bar to the Parts Inventory screen for people that have a short resolution where you can't see the buttons at the bottom of the parts inventory screen.
  • Improved adding a part to parts inventory on the fly from Work Order Parts and if you don't put a description it will now send you back to add one or let you cancel without an error.
  • Improved the deduct from inventory feature in the Work Order Parts screen, so that it will add the deducted amount back into inventory when clicking cancel on the pop-up message for incomplete data, and when deleting that part from the work order, or the deleting work order itself.
  • Added Delete button to Fuel Log Vendors Dropdown list Maintenance screen and also a list of all the fuel log entries where the selected vendor was chosen and the ability to double click to go to that fuel log entry, if you need to change the vendor
  • Fixed issue of Parts Inventory Where and When Parts Installed Report not calculating totals when an installed part had a quantity of more than one
  • Fixed issue with Company Logo Covering the Company information on a Work Order or Invoice Printout
  • Updated Fuel Log Data Entry so that If you make a mistake when you enter the price per gallon you can change it and have it update the Total cost instead if manually entering the total cost.  You can still override the total cost if you need to.

We are still busy working on the major update 4.7.00 and the one after that which  will use a new version of Microsoft Access. TATEMS Version 5.0.00

2 Videos version 4.6.11 update improvements and sneak peak of version 5.0

I this post I have to short videos for you.  The first one is the 2 improvements made in version 4.6.11 released Dec 26, 2014.  The second video gives you a sneak peak at the scalable forms and the ribbon bar coming in version 5.0.

Video of a few notable recent improvements to TATEMS Fleet Maintenance Software

I wanted to get this video out to you so that you could see a few of the recent improvements we have made  to TATEMS Fleet Maintenance Software.

Here is a list of what is covered in the video.

  • Improved Fuel Log Odometer Tracking of State/Province begin and end odometer readings when a State has been selected as the state of purchase and then you double click to see the begin and end miles for a state. (4.6.09 Dec 15,2014 – Fixed calculation on 4.6.10 Dec 17, 2014)
  • Improved ability to delete equipment with large numbers of associated records that was causing an error on some larger databases. (4.6.08 Dec 8,2014)
  • Improved equipment deletion so that after deletion is complete the selected equipment in the list will be what is displayed below (4.6.09 Dec 15,2014)
  • Fixed ability to enter a zero as the sales tax precentage on a work order after some other number was used. (4.6.08 Dec 8,2014)
  • Fixed ability to change the Equipment number on a work order when opened from the work orders list screen. (4.6.08 Dec 8,2014)
  • Improved Update Odometer and Hours screen to allow updating of all four columns with a backdate on the same row. (4.6.08 Dec 8,2014)

New Work Orders Printout Format Added to Preferences in ver 4.4.04

We have added an extra Work Orders printout format. You can select the additional formatting option under Tools->Preferences->Work Orders/Invoices.

This new feature can be found in TATEMS Fleet Maintenance Software version 4.4.04 and later.

I show you the feature in the video below. Enjoy and share with your friends.

As I said in the video, if you have an additional printout format you would like to see for TATEMS Work Orders please let me know what you have in mind. And if it's something that makes sense, we will add it as another option in preferences.

Work Orders Parts and Labor update

We released a new version 4.4.04b of TATEMS on June 19th 2013.

We have released several new versions over the past couple of months starting with version 4.4.03 released on May 3rd 2013.

In the 2 minute video below I show you how we have updated the Parts and Labor screens so that you will see what data you missed if you did not fill everything in.

Just In case you can't see the video here is a description:

While you have the Work Orders screen open you click on the Labor Completed Tab

Then click on either the Add Labor to Work Order button or the Save and Close button and you will see a message telling you what data is missing,

If you click OK you will be able to go back and correct the entry, if you click cancel after clicking on the Add Labor you will be taken back to the Labor for Current Work Order Screen with and the data you previously entered will still be there.  If you click cancel after clicking Add Labor To Work Order you will be brought back to the Labor for Current Work Order Screen but all your data will be removed and you can start over.

If you click OK after you click the Save & Close button then you will likewise be brought back to the Labor for Current Work Order screen to correct your mistake. But if you click the Cancel button after clicking Save & Close the data will not be saved and the Labor For Current Work Order screen will simply close.

New Labor Items spreadsheet and video and more

I hope your week is going well so far.

The last week or so around here has been a little crazy.

It was only 95 ° here in Las Vegas today, well below normal and the Gas prices have been getting lower. We filled up for $3.55 per gallon last Friday and have seen it as low $3.31 per gallon on the other side of town.

I usually make breakfast in the morning for my wife and me and a few days ago I did what I usually do.

I left my wife's breakfast on the counter and yelled upstairs to let her know it was ready.

Then I grabbed mine to sit down and watch TV.

She took longer than usual to come down. I was already finished when she walked over to her plate and found a plate full of ANTS! Oops…

So we spent the next few hours trying to eradicate them.

The next day as I'm making breakfast I noticed water in the kitchen sink. I thought it wasn’t draining because there were some plates on one side that were blocking the drain.

We removed the dishes and it still would not drain. So I grabbed the bathroom plunger and turned on the garbage disposal and stupidly tried to plunge the other side.

All of a sudden boom! The pipes burst, water goes spraying out the front of the cabinet, soaking my pants and flooding the cabinet under the sink and the floor.

Oh what Fun!!!

I took apart the pipes and used a 6 foot snake to try to clean it out, put it all back together, no go, tried multiple Liquid Plummer bottles, no go.

Finally got a hold of my landlord and she sent in the big guns drain cleaning service. He had to go in about 15 feet to the main drain and that did the trick.

Drama over…. For a few days.

So it’s about 6AM Monday morning and I’m downstairs in morning prayer and hear my 23 year old daughter coming downstairs to let the puppy “Kiba” out (Kiba means fang in Japanese).

A few minutes later I hear the door open and then a big bang, and the cats go flying, bells jingling and I’m thinking “what’s going on” So I look up, I don’t see my daughter, then I look behind me, the cats are staring towards the door, then I look down, and my daughter has collapsed on the floor.

I freak!

I jump up and she is laying there on her side, and the floor is hard tile, she is unconscious and her eyes are open.

As I keeled over her and starting asking if she was aright she slowly came back around.

Well thank God, it turns out she just fainted and after a while she was able to get up and eat something.

We figure it was just low blood sugar. She said as she was sitting out back waiting for the dog to finish his business she started feeling ill, like she wanted to lay down. She thought she could make it back inside but just couldn’t make it.

Scared me to no end… the sight of her laying is something I’ll probably never forget. You never want to see your child hurt in any way.

And now on to today's tip…

Shelly, one of our clients was looking for a report to show all the Labor hours and costs even if the Work Order was still open.

We did not include a time clock feature for labor items in TATEMS in order to keep it as simple as possible for technicians to use.

But due to popular demand we will be adding a way to track start and Stop times and dates on each labor item in a future
update.

In the meantime I created this spreadsheet that will let you see all the dates associated with each work order and the
associated labor so I created the spreadsheet profiled in the video below:

It’s called:

Labor on Work Orders Pending and Completed.

And it will link to you TATEMS data and display the following columns:

Equip #
Work Order #
Date Requested
Date To Complete By
Date Completed
First Name
Last Name
Labor Description
Labor Notes
Hours/Units
Cost Per H/U
Total Cost

You will need to have Microsoft Excel to use these spreadsheet and have it link to your TATEMS data.

Excel 2007 or 2010 or if you have a 64 bit version of Windows or if your TATEMS data is on a network then

Parts Replaced Under Warranty Spreadsheet

I created another spreadsheet to display all parts that were installed that have a warranty. This would allow you to check to see if part was under warranty when it failed.

To make this as useful as possible; you should add a note as to the warranty duration when you add a part to a Work Order and check the Warranty Box for the part.
